Getting Started with Prospects in RCO3®

In RCO3®, Prospects are referred to as "Contacts" and auto-notification emails are referred to as "Auto Emails"

Getting started by setting up an Auto Email… what’s in it for you?
Auto emails in RCO3® can save you time and allow you to set up automated updates for your clients.

When you set up a search to automatically email new listings and updated listings, your client/contact will receive up-to-date listings based on the email schedule that has been set up. *Note: There is a limit of 250 results per auto email. If the search results for your auto email return more than 250 matches, the auto email will automatically be disabled.

To set up an auto email, you need to first have a Contact set up for your client.

To Set up a Contact:

1.  Click the "My RCO" tab, then click the link "Contacts".
2.  Click the "Add Contact" button.
3.  Fill in all the information you want for the contact. The required fields are: First Name, Last Name, and email address. (You can add up to five email addresses to a contact, separating each with a space.)
4.  When finished, click the "Add" button. Now you are ready to set up to run your search.

NEXT STEPS: Run a Search and Save your Auto Email:

1.  Run a search and click the "Save" button at the bottom of the list of results. 
2.  Click the "New Auto Email" button.
3.  Click the Contact drop-down box to select the Contact for this search.
4.  Fill in the Subject for the new auto email.
5.  In the settings section, you can choose to send the auto email in concierge mode, or save it as a favorite search on your home tab. Auto emails with concierge mode enabled are not sent out automatically to your client, and emails are only sent when you manually approve listings.
6.  Choose a schedule for sending the auto emails (ASAP, Daily, or Monthly) by clicking the appropriate radial button.
7.  Click the "Save" button. RCO3® will immediately email the search results to your contact. As new listings meet your search criteria, they will be sent according to the schedule you have selected.

NOTE: If you forget to set up a contact before you run your search, you will be given an option to "Create a New Contact" on the "Save a New Auto Email" screen.
